Senior Executive Services/ Personal Assistant (Oil Industry)

Responsibilities:
- Provide support on Executive Services/ logistic arrangements for Corporate and Executive visits and works with minimum supervision.
- Perform specific tasks and coordination related to Corporate and Executive visits and internal events, including logistic arrangements, hotel accommodations and transportations, on-site support during the visitation, and organizing of events (eg. annual staff gathering).
- Assist coordination and resolve last minute changes of itinerary planning and logistics for business trips, conferences, and large meetings for Corporate and Executive managements, ensuring that all arrangements are complete and of acceptable standards
- Verify invoices as well as payments with finance department as required. Follow up with the pre and after payment of the visitations and high-level special events
- Inspect the hotels, transportation services, and high-level restaurants in advance of the Corporate and Executive visits, coordinate and finalize arrangements
- Maintain the database for the hotels/ restaurant/ limos/ historic attractions. Follow up with the agreements with the hotels/ restaurant/ limo services Company etc
- Maintain organized filing system for the executive's correspondence, files and other records
- Support senior employees in provide onsite support (including Airport Meet and Greet) for special assignment as required
- Provide support for Corporate and Executive as required during the visit. Organize and follow up with the invitations during the visitations. Secured the confidential and personal information of high-level visits
- Maintain appointment calendar, resolve schedule conflicts, and schedule meetings as directed
- Represent the company as required at annual staff gathering, holiday celebration and other events
- Perform other miscellaneous duties as directed by Line Manager
Requirements:
- Bachelor's Degree in hospitality/ Hotel and tourism management
- Minimum 6 years of hotel and customers services and/or secretarial and personal assistant experiences
- Working experiences in Hospitality and services field as well as supporting senior executives
- Detail-minded, highly organized with ability to handle administration works and arranging the logistics
- Proficiency in MS office applications and PowerPoint
- Excellent interpersonal and communication skills with the ability to interact with people at all levels
