Executive Assistant to SVP Finance, Asia and SVP IT & Distribution Systems, MEAPAC
WHAT YOU WILL BE DOING:
Job Purpose
This role is responsible for providing administrative support to the Senior Vice President Finance, Asia and the Senior Vice President, Information Technology & Distribution Systems, Middle East & Asia Pacific.
He / She will provide support for the Finance and IT functions, as well as liaise with the respective teams across the regions to ensure efficient and effective day-to-day operations.
Primary Responsibilities
Administrative Support
• Provide direct administrative and secretarial support to SVP Finance and the SVP IT
• Manage and coordinate all travel-related arrangements and documents for the SVPs and Finance & IT team
• Manage calendars and schedules to ensure effective time management
• Manage incoming calls, emails, mail and general enquiries
Preparation of Reports and Presentations
• Organise meetings and prepare meeting materials, presentation slides and meeting minutes
• Coordinate and consolidate data across the regions
• Assist to prepare budget, expense and accrual related reports
Other Responsibilities
• Prepare, coordinate and circulate all documents relating to Finance and IT that require approvals
• Documentation and maintain filing systems
• Review and verify supplier/vendor invoices for payment processing
• Ad-hoc duties as assigned by SVPs
YOUR EXPERIENCE AND SKILLS INCLUDE:
• Minimum 5 years relevant experience
• Good user knowledge of Microsoft Outlook, Teams and Office Tools
• Effective time management skills and strong organisational skills
• Good influencing and presentation skills
• Good interpersonal skills and ability to communicate with all levels of team members
• Ability to multitask, flexible to embrace and respond effectively to changes
• High degree of initiative, personal responsibility and integrity
• Ability to handle confidential information
