Job Description

Jobs Responsibilities

  • Provide administrative and any Ad-hoc support to Office and Facility Management
  • Manage the provisioning of security access passes
  • Sourcing and requesting quote from external vendors 
  • Liaison with existing vendors relating to pantry supplier, coffee and vending machines and stationaries
  • Raising of payments and invoices through AP
  • Updating and managing Office Management related incidents/requests
  • Manage and support Office Management Team mailbox
  • Oversee, update and maintain company’s phone directory
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation
  • Attend to hand-delivered mail, parcels and documents
  • Assist to arrange for local and overseas courier services
  • Handle the scheduling of conference rooms for board and executive meetings
  • Liaise closely with all department PA’s and ensuring both internal and external stakeholders meetings are well hosted and executed in orderly and timely manner

 

Job Requirements

  • Min. 2-3 years of relevant experience in facilities management and office admin
  • Able to start work within short notice
