Senior Order Fulfillment Specialist (ENERGY MNC/Warranty Claims) - West/up to $7k #HAO


Job Description:

Warranty Claim Processing

• Manage and process regional claims submitted by six service partners from Sri Lanka, Taiwan and Thailand

• Review and verify claim documents for accuracy and completeness.

• Ensure timely submission of claims into the warranty system within 60 days from Repair Open (RO) date.

• Coordinate the procurement and shipment of spare parts, as well as the retrieval and return process for warranty items with service partners.

• Assist the Customer Care Centre by expediting the ordering and delivery of critical parts to Distributors/Service Partners, ensuring prompt restoration and functionality of engines/equipment.

Communication and Coordination

• Serve as the primary point of contact for warranty-related claims for service partners and assist to resolve any disputes or concerns promptly and effectively.

• Communicate effectively with service partners to gather any missing information or documentation required for claim processing and

• Coordinate with internal departments such as Customer level 2 support, Warranty and Sales to facilitate claim processing and resolution.

Documentation and Reporting

• Maintain an organized and up-to-date database of warranty claims, including claim status, approvals, rejections, and pending.

• Generate monthly report on warranty claims amount to Germany.

• Ensure all documentation is accurately recorded and filed in accordance with company policies and regulatory requirements.

Order Management

• Generate and assign internal job numbers to warranty, commissioning jobs and corrective actions claims for tracking and reference purposes.

• Raise Purchase Requisition and coordinate with Purchasing Team to ensure timely processing and issuance of purchase order to service partners.

• Receive invoices from service partners for warranty-related parts and labor claims.

• Perform goods receipt in SAP system to confirm receipt of items and initiate payment processing to Finance Team.

Continuous Improvement

• Seek opportunities to improve the warranty claim process to enhance overall customer satisfaction.

• Propose and implement solutions to streamline workflows, reduce errors, and improve efficiency in warranty claim processing.

 

Job Requirements: Min Degree in Supply Chain or similar w min 5 yrs of relevant experience in customer service coordinator & warranty administration
