Job Scope:
• Receive and route incoming telephone calls with proper etiquette.
• Welcome visitors, verify the nature of their visit, issue visitor passes, maintain logs, and alert or direct them to the appropriate person or office.
• Manage a professional and welcoming atmosphere in the reception area (display AL video an the main TV screen and display welcoming message at the TV reception desk) .
• Handle incoming and outgoing mail, postage, parcels, and couriers.
• Monitor and manage inventory of office supplies (e.g., stationery, pantry supplies, business cards).
• Support internal and external meetings and training events (e.g., arrangement of lunches, snacks, setup of audio and AV digital equipment).
• Provide administrative support for office and ad-hoc duties, including travel claims and compliance checks for mobile handsets and billing.
• Coordinate visitor management including seating, taxi bookings, F&B recommendations, and registration.
• Produce and update an e-pamphlet for visiting customers and colleagues.
• Assist with hotel bookings for visiting colleagues and external visitors or contractors.
• Manage transport bookings and restaurant reservations as required.
• Manage invoice processing, including data entry and uploading into financial systems
• Track expenses and flag irregular charges, including reviewing company bills (e.g., Singtel) for compliance issues.
Job Requirements:
- Min. 1-2 years relevant experience as receptionist
